Job Description

The Office Assistant is responsible for directing and coordinating the administrative services in the office. They take initiative, exercise discretion and make appropriate decisions, consulting with Operations Assistant as needed. The Receptionist/Office Assistant also works closely with the business services & production teams to ensure good flow of communication and data.

Salary: $15.00 - $16.00 per hour

Responsibilities

 

  • Simplify duties of the executives and take responsibilities off their plate when possible
  • Answer phones and make calls using professional etiquette at all times
  • Assist with payables and receivables
  • Maintain staff and property files “ IC agreements, handbooks
  • Hold office to minimum housekeeping standards and set up workstations
  • Schedule and organize meetings, staff events, birthdays 
  • Inventory/Ordering/Picking up items

Requirements

The Office Assistant can be considered the face of the office and serves as first point of contact for clients and staff.  The selected candidate must have strong organizational, communication and interpersonal skills and the ability to work in a highly professional manner with a diverse group of clients, vendors and staff.  It is essential to the job to possess exceptional customer service skills and the ability to excel in a team environment. Additionally, the selected candidate must be able to work independently, exercise judgment and confidentiality in dealing with people, information and problems. Dependability and good attendance are a must.
